How we handle quotes, deposits, payments, and refunds.

1. Overview
This Payment & Refund Policy explains how Torch'D Studios handles quotes, deposits, payments, cancellations, and refunds for the custom web design, web development, and digital marketing services we provide. It is meant to set clear, fair expectations before we begin working together. The specific financial terms for any project are set out in the written proposal or agreement you sign with us (the “Project Agreement”); where this policy and a signed Project Agreement differ, the Project Agreement controls.
2. Quotes & Estimates
Quotes and estimates we provide are based on the scope of work described at the time they are issued. They are informational and are not binding until reflected in a signed Project Agreement. If the scope changes after work begins — for example, added pages, features, or revisions beyond the agreed allowance — the fees may be adjusted, and we will discuss any changes with you before proceeding.
3. Deposits & Payment Schedule
A non-refundable deposit may be required before we begin work on a project. This deposit reserves our time and covers the initial phase of the engagement. The remaining fees are invoiced according to the schedule set out in your Project Agreement — for example, at agreed milestones or upon completion.
Invoices are due by the date stated on each invoice. Accepted payment methods and any specific terms will be confirmed in your Project Agreement or on the invoice itself.
4. Refunds
Our services are custom and time-based. Because we dedicate hours, expertise, and resources to each project, fees for work that has already been performed are generally non-refundable. Specifically:
- Deposits become non-refundable once we have begun work on your project, as they cover time and resources already committed.
- If you cancel a project before any work has begun, any deposit you have paid is refundable, less any non-recoverable third-party costs or payment-processing fees we have already incurred on your behalf.
- Amounts invoiced for work already completed or in progress are not refundable.
We always aim to be fair and reasonable. If you have concerns about a deliverable, please reach out so we can make it right. The specific refund terms in your signed Project Agreement control where they differ from this summary.
5. Cancellation & Termination
Either party may cancel or end an engagement in accordance with the applicable Project Agreement. If a project is cancelled after work has started, you remain responsible for payment for all work performed and expenses incurred through the effective date of cancellation. Upon final settlement of amounts due, we will provide any completed, paid-for deliverables as described in your Project Agreement.
6. Late Payments
Timely payment keeps your project moving. If an invoice becomes past due, we may pause work until the outstanding balance is paid. Overdue amounts may be subject to reasonable late fees or interest, to the extent permitted by applicable law, as set out in your Project Agreement. Any timelines affected by a payment delay may be adjusted accordingly.
7. Chargebacks
If you have a question or concern about a charge, please contact us first so we can resolve it directly — most issues are simple misunderstandings we can sort out quickly. Initiating a chargeback or payment dispute without first contacting us may delay resolution and could affect ongoing work. We reserve the right to respond to and contest chargebacks that are not consistent with this policy or your Project Agreement.
8. Changes to This Policy
We may update this Payment & Refund Policy from time to time. When we do, we will revise the “Last updated” date at the top of this page. The version in effect at the time you sign a Project Agreement, together with that agreement, governs your engagement.
